Communication is a core part of donor engagement—and consistency matters. That’s why Donate Office now lets you send donation receipts, reports, and emails directly from your own email address using your organisation’s custom SMTP settings.

This feature helps improve deliverability, professionalism, and trust by ensuring all outgoing emails come from a domain your supporters recognise.

Why Use Your Own SMTP?

By default, emails sent through Donate Office use a shared mail service. While reliable, it means messages are sent from a generic address. Now, with SMTP configuration, you can:

  • Send all system emails from your own domain (e.g. donations@yourcharity.org)

  • Improve deliverability and reduce the risk of emails landing in spam

  • Build donor trust by using familiar and branded sender addresses

  • Track replies directly to your inbox

Whether you’re sending receipts, campaign updates, or financial reports, emails now reflect your charity’s identity—automatically.

What You Can Send Through Your SMTP Setup

Once enabled, all key email communications will use your SMTP credentials, including:

  • Donation receipts

  • Gift Aid declarations

  • Campaign updates

  • Custom reports

  • Scheduled email reminders

This ensures consistency across all touchpoints with your donors and internal stakeholders.

Easy Setup in Site Settings

You’ll find the new SMTP Email Configuration section under Site Settings. Simply enter:

  • SMTP server and port

  • Your sending email address

  • Login credentials

  • Encryption method (SSL/TLS)

Once saved, the system will start using your credentials for all outgoing emails instantly.

Secure and Reliable

Donate Office never stores your SMTP password in plain text and uses secure connections for all transmissions. You can update or disable SMTP integration at any time with no disruption to your existing data.

This feature gives you greater control over your charity’s digital communication—so every message looks, sounds, and feels like it’s truly coming from you.
